What an interesting time to be alive!

Today, I want to show you why those people are losing their jobs, how I am saving huge amounts of time doing the work of a dozen people, and how your top people will become their own teams. I’m going to walk you through the AI tools I’ve integrated into my daily workflows, what’s working, and a little bit about where things are heading. I’ll also share with you about something we’re launching next Wednesday that I’m pretty excited about.

I Have an AI Brain

The more you work with AI, the more you realize you’re just another machine processing information and the more information you can process and the faster you can do it, the better you are and the more money you can make. 

My AI brain is a key part of all of this. 

I created a system that scans my emails, documents, meeting transcripts, and calendar and creates a living connection map of all the people and business entities that I connect with. 

Think about it like this: I operate several businesses. These businesses have teams of individuals who are solving problems differently than others, the businesses have customers and the customers are connected to other people. I have investments being managed by various groups of people. I have a family: a wife, two children, and each and every one of these people and business entities has their own web of information, such as insurance to health records to contracts and much more.

My system reads all of this and creates a living map of connections so that whenever I (or my agent) need to send an email response or need additional information about something in my life, I simply have the AI ask the brain. Instead of digging through hundreds of emails trying to locate the one piece of information I need, the system already knows where to look.

As a result, I’m able to provide better-informed and accurate responses to my emails, finding information faster, and provide much better responses to everything. Most importantly, the AI doesn’t get confused trying to sort through all the information in my head. It has been a game-changer when it comes to answering complex questions, which is pretty much what I do all day long.

Almost All My Emails Are Written By The System

Now that my AI has my brain, it just needs to know how I write. So I had the system read through my last 500 emails and create a detailed prompt that explains exactly how I write my emails. Once I got these two paired together and integrated into Claude Cowork, each morning, the system reviews all of the important emails in my inbox and automatically generates draft responses. They are written EXACTLY how I would write them. Now, all I do is skim down my drafts list, double-check, sometimes make edits, and click send. 

This probably saves me 45m to two hours per day. That’s roughly a day per week of work saved.

Then, I simply review my drafts folder, go down the list, read each one to ensure it sounds good, and click Send. The system reads back twenty to thirty prior emails I’ve exchanged with each person, so it has sufficient context to reply appropriately. While it’s not always correct, it’s close enough that I’m saving hours per week. I’m now able to spend time with my family rather than looking at my inbox.

Autonomous Agents (But Be Careful!)

Next, I put together an OpenClaw (autonomous agent) instance that runs while I’m working. I want to be very clear here: I strongly advise against building something like this unless you know exactly what you’re doing, as it will get hacked.

The monitor system I built that sees everything that goes in and out of Sam

Sam, short for Sam Botcardo, handles research and analysis for me on specific topics, checks my calendar and reminds me of things when I have time, helps debug and review work, and analyzes issues while I am not looking. We talk on Discord, and each week it checks on my health, workout schedule, weekly goals, communications, finances, and more. It even asks how I’m feeling, which is really weird, because I didn’t ask it do that.

No More Spreadsheet Formula Headaches

This one has probably been the biggest acute pain that has been removed. Claude’s ability to take my muddled and confused questions and requests and return robust, complex spreadsheets, fully working has absolutely blown my mind. When I had problems like this in the past, it could take hours, sometimes days to get it done. Now, it's a few prompts, a few notes, and boom! Spreadsheet done.  If you’re wasting hours struggling with your spreadsheets, this is worth checking out.

Software Development On Steroids

This is borderline magic. 

I’m a programmer, kinda. I’m more like a terrible programmer. I’ve spent years building products as both a UX designer and product owner and worked as a front-end developer 25 years ago. But now, with the power of AI, I can feel the power coursing through my fingers every time I sit down at the computer.

Over the past three weeks, I’ve created two functional apps that would have taken a team of 5 a year to create. The first is a lead orchestration manager for outbound campaigns and lead generation for the company. I basically re-built n8n (data transformation tool) for lead management. I just completed debugging, and I’m turning this app on this week. This app will enable us to process approximately 10,000 leads per week, and ensure proper handling of each issue and catch and response.

My second project is an idea generation and content creation system. My system scrapes my email, meeting transcripts, and note history to locate my best ideas and group them by theme. Next, a bot recommends content for each. Finally, I am working on having another bot interview me and create additional context. I’m in the process of automating my entire content development pipeline (with an editor’s review), so I no longer need to invest hours and hours thinking back on all my meetings, writing ideas, and doing everything from scratch. Wrapping up both of those projects doesn’t save me time; it saves me from having to hire people do this. I just added a few more sets of hands and minds to my business, doing something that would have cost me thousands per month. 

3 PCs + 5 Agents = 20+ People

Here’s where I feel like maybe I’m going overboard, but I want to share this because I believe it demonstrates the vast amount of empowerment we’ve been given.

Instead of my usual one computer running, I now have three separate computers running simultaneously, each with its own set of bots and agents. One PC is running the autonomous agent. Another PC is running a single instance of VS Code, building applications, and hosting my in-development systems. The final PC is my primary PC running VS Code and building projects while I do my normal work, which is done heavily through agent management now. 

Claude costs me $200/month. And I use Claude Code literally ALL DAY LONG EVERY DAY LONG. It’s the best money I spend each month on software.

10X Your Best People

I wanted to close this email out with an important note on people, since I think many people are concerned about where all of this is heading.

We’re currently not replacing people. We’re empowering the best people to be even better. We’re increasing their capacity and ability to perform tasks that were previously impossible. The former great employee is now a great team of great employees. We are 10X’ing or 100X’ing our best people. 

So, remember to continue investing in your top performers. They are not one person anymore; the right teammate is now a team of people overseeing teams of people overnight. Provide them with the necessary tools and training to be even greater.
